Overview

New Tracker Products software users should consult the follow list of action items before any on-site installation or training is conducted. Users who do not have an on-site setup scheduled can also use this list to get started on software installation. Some of the items on this list require something to be done, while others identify a decision or role assignment that needs to be made by your organization. Planning how your organization will maximize the power of Tracker Products software is half the challenge to setting up this system. Correctly completing the following items in order will lead to a successful software installation.

Pre-install Questions

  1. Does your agency / department have at least 1 full time technical person that handles your computers & network? Will this person be responsible with installation of the product and hardware?
    1. Please provide this person's contact information.(Name, Title, Email, Phone Number & Cell Phone)
  2. Who needs to view system information (other than the property room controller)?
  3. Explain your current evidence process from collection to disposition.
    1. How is evidence collected at the crime scene?
    2. Is there a document that explains packaging standards?
    3. How many forms are used for processing? (Submission, Lab)
    4. How is evidence submitted to property room?
    5. Explain your organization's temporary locker process.
    6. How do officers / courts request access to items?
    7. How do you communicate with others about item disposition?
    8. Who approves disposition of items?
    9. How often are inventories scheduled to be completed?
  4. How many units deal with evidence?
    1. Do each of these departments use the same mechanism or process for identifying a piece of evidence (i.e. case number, incident numbers, etc.). In some cases we have seen separate units assign their own identifying number to an item and each unit tracks those numbers.
  5. How do items get to the lab? Who drops them off?
  6. Who is going to input items to the Tracker software system? Will it be an officer type person or the property room clerk?
  7. How many facilities do you use to store items? How many lockable rooms are in each of these facilities?
  8. Who sets and approves all policies and procedures?

Phase 1

  1. Schedule an install date (if applicable)
  2. Do all your existing items reside in some sort of a electronic format (dbase, excel, etc) and do you want to import this data? If yes, we need access to that data.
  3. Review this Wiki user manual.
  4. Email Tracker Products a copy of your Item Submission form and Lab Form (if available). (See section for creating system forms)
  5. Install and setup PDA Scanner & Barcode Printer ((Keep all boxes for at least one year because returns must be made in original box))
  6. Setup your Agency
  7. Complete User Administration (Enter all users)
  8. Go through the process of creating a case(s), person(s) & items(s) along with printing forms. (Enter as many test items as you want, we can delete these before you go live with the software.)
  9. Customize Case, Persons, Items & Misc. Tabs completely
  10. Create all Temporary Locations & Permanent Locations
  11. Print labels for locations and tag all locations
  12. Customization of labels & reports (Let us know what changes you want) (See section for creating / updating system forms)
  13. Create a test case with at least 20 items of various types.
  14. Use the test case to check at least 10 items in and out using the manual process of check in / out. (Do not try to use the PDA device at this point.)
  15. Use the test case to dispose of at least 5 items.
  16. Use the view tab tab to review your case and 20 items.
  17. Once you have the site designed to your specifications; contact Tracker Products to dump all temporary test data from the system.
  18. Move database to your server (purchased systems only). What version of SQL are you running?

Phase 2

Typically completed during an on-site setup visit.

  1. Review of overall system.
  2. Review user administration
  3. Review customization
  4. Begin processing actual items (25 or so)
  5. Updating Items & Advanced Logging
  6. Chain of Custody & Chain of Custody report
  7. Using the PDA Device
  8. Advanced Searching
  9. Disposition
  10. Advanced Letter Writer
  11. Bucket List
  12. Ticket System
  13. Advanced Tools: Item Locking, Custody Maintenance
