Item Locks

The Item Lock feature prevents the possibility of two users modifying data at the same time. If this were to happen, in rare instances, users could accidentally overwrite data that was written by another user. Tracker locks all data requested by a user. If a second user were to request that data for edit, it would show a locked symbol and the request would be denied.

In some instances, item locks placed on data will not be removed when the data request is complete. If this happens, an administrator will need to manually remove the lock.

This screen shot shows a request being made to check out five items in a case. As you can see, Items 1 and 2 are shown as locked. The lock means one of two things:

  1. The item is currently locked by another user and data is being modified
  2. The item is stuck in a lock mode. This can easily happen if a browser accidentally shuts down when a item is locked. When the browser closes, the lock is not properly removed.

If the item is locked and currently being modified, the lock will be removed when the user requesting the data is finished. If the item is stuck in a perpetual locked state, an administrator will need to remove the lock.

How do you know if an item is in a temporary lock or a perpetual lock? As shown in the previous screen shot, if you hold your mouse over the lock icon, it will display the owner of the lock along with the date and time of the lock. If that time shown is within the last 30 minutes, it is probably a short term lock. If the lock is more than 30 minutes you should see the administrator to have it removed.

Removing a lock

Administrators and site administrators may remove locks on items. To remove a lock, click the ‘Tools’ drop down menu and select ‘Item Locks’. This page will show a list of items that are currently locked. To remove a lock, check the box next to the item and click the un-lock button at the bottom.

Suggestion: Check the date and time of the lock before removing. You don’t want to remove a lock on an item that is in an edit mode. Removing a lock will leave that user susceptible to having data overwritten.
