Overview

Disposition is the process of changing an item from an active status to an in-active status. There are many forms of disposition related to an item (return, destroy, donate, etc).

Suggestion: Once you dispose of an item you cannot reverse that action. If an item needs to be reentered into the system after disposal, create a new item and make a note that links back to the original item.

To dispose of items in a case, click the Dispose of Case # icon on the Quick Menu. You will be prompted to enter the case that holds the items you want to dispose.

Suggestion: It is recommended that you perform all dispositions on the PDA device. This will cut down the possible errors because you are scanning the barcode on the item as it is leaving. See the PDA device section for more information on using the PDA device for dispositions.

To dispose any items in a case, click the items you wish to dispose and click the Update Disposition(s) button at the bottom of the page.

The final disposition page allows you to select from multiple options for the disposition.

Suggestion: You do not have to fill in all of these fields. As long as you do not click the ‘Disposition Dispose’ check box then you are preparing an item for disposition. Once you click the Disposition Dispose checkbox, it becomes a final disposition and then every other field becomes a characteristic of that disposition.

  • Add to Disp. Rep – This is used for disposition preparation. Selecting this option will add this item to the Disposition Report, which can be found in the Reports drop down menu.
  • Disposition – This is typically part of the final disposition and describes how the item was disposed.
  • Disposition Code – This is used for disposition preparation and will be covered in the next section.
  • Disposition Date – This is typically part of the final disposition and tells the date of the disposition.
  • Disposed By – This is typically part of the final disposition and tells who did the disposition.
  • Disposition Disposed – This check box signifies that an item has been disposed or is in the process of disposition. Once this box is checked and submitted, the item becomes disposed and the action cannot be reversed.
  • Disposition Notes – Notes pertaining to the disposition.
  • Item List – Shows the items that will be a part of the disposition transaction.

In this example, all fields have been selected and it is indicated that this is a final disposition. Once completed, click the Update Available Items button.

Disposition Codes

Disposition codes are a very important component of the disposition process. Preparing an item for disposition is a much lengthier part of disposition than the actual process of disposing an item. In some respects, disposition codes are like status codes for an item. The current disposition code on an item should tell what process of disposition is currently applied to that item. In the history of an item, multiple disposition codes will probably be applied.

Drugs, guns and money will usually have multiple disposition codes. On the other hand, bikes and found property may never have a disposition code. This is because there is rarely a multi-step process for disposing of bikes and found property. The big three (drugs, guns and money), or most popular types of item entered into our system, almost always have a multi-tier process for destruction.

Example: Disposition of a drug related item typically requires, at the very least, several steps before you can actually get rid of the item. The first step may be getting permission from the case manager to get rid of the item. Once he approves, it goes to the DA. Once he approves, the Judge may have to agree. In this example, there are 6 steps in this statement:

  1. Request permission from case manager
  2. Receive permission from case manager
  3. Request permission from DA
  4. Receive permission from DA
  5. Request permission from Judge
  6. Receive permission from Judge
  7. Dispose

To complete this process you must first create disposition codes in system customization. An administrator must add these steps. As this process is complete, the disposition code will be updated for that item. No other disposition on that item will be changed.

One of the most important features of disposition codes is that each disposition code is recorded in a history list for that item. To view the history of disposition codes for an item, go to the View Tab and type in the Case # for the item you want to view. From there, you can view the details of the item. This is the history of disposition codes.
