Performing Transactions With the Scanner
The desktop scanning (in system scanning) feature allows users to perform system transactions(check in / out, move & disposition) with a non-portable scanner device typically connected to your system via USB cable. This section does not pertain to using the PDA device that comes with the Tracker system.
Testing: (Testing is only necessary if there is a concern that the scanner is not properly reading Tracker barcode labels.)
- Make sure that the barcode scanner is plugged into your computer and any necessary drivers are loaded (Windows XP usually picks up most scanners and drivers will be loaded automatically.)
- Open Windows Notepad - Start... Programs... Accessories... Notepad.
- With notepad open, scan any ET barcode label. Notepad should display a number (i.e. 5000-1).
- You can now use the desktop scanner.
Using the Desktop Scanner device
From the Tools menu at the top of the screen select "Item Scanning"
- There should be 3 tabs: Item Lookup, Perform Transaction & Manage Barcodes
- Item Lookup: Allows you to scan any item label and see the information about that item. This function opens the item in the View tab.
- Perform Transaction : Allows you to perform a check in / check out / disposition / move.
- Manage Barcodes: Do NOT alter this section; it is for Tracker Support ONLY.
Perform Transcation
- Click the "Perform Transaction" tab.
- Select the transaction type you would like to perform from the dropdown (Check-in, Check-out, etc.)
- Click Next.
- Scan all of the items for the transaction.
(Note: Transactions may need to be performed in groups-requiring multiple transactions. For example, if you are checking out 5 items to the Lab and 5 to a officer, you will need to perform the 5 lab transactions followed by the 5 officer transactions. The reason for the grouping is that the final screen will ask Who and Why are you checking the items out. That information will apply to the items scanned in the previous step.)
- Click Next.
- On the available status screen, check to make sure all of the items are available for the transaction you are trying to perform. A checked-in item cannot be checked-in, a checked-out item cannot be checked out, etc.
- In the issued to/by field, enter the name of the person who is giving you the item or to whom you are giving it (this would be your name if you are the one transporting the evidence).
- If you are checking an item in, select the location you are checking it in to. If you are checking it out, select the reason you are checking it out from the Reason Checked Out dropdown. If the item is going to another agency within your system, select that agency from the dropdown.
