Advanced Letter Writer

The letter writer system, like the Tickets feature, is another way Tracker has recognized our client's needs for fast and comprehensive communication among users. The Letter Writer includes templates of letters. Information is added to these templates directly from the system and they can printed transmitted electronically. The Send to Letter Writer button allows users to send results from several different areas of the system to a letter template.

Create Template

To create a letter template click the Letter Writer button on the Quick Menu screen.

Much like the advanced search screen, this page includes two sections. 1. Create a template letter or 2. View / modify an existing template. To create a new template, enter the name of the letter and select whether it is a public or private report. After selecting from these options click the Create Letter button.

The letter writer system is very much like creating MS Word document. In the open text area, you will type within your template. Right above the large text area are the formatting options for your text. You can change size of text, color of text, and almost any property on your content.

This example is not a practical option, but it demonstrates the flexibility to customize letter appearance. Building a template for a letter used often by your organization presents a professional document and streamlines the communication process. {HEADER} – Inserts your company header on the template {ITEMLIST} – Inserts the resulting item set to your template {CLOSING} – Inserts the closing section of the template

Insert these tags where they should be visible on the final report. When finished, click the Save Letter button.

Using the Letter Template

Any time there are checkboxes next to a set of item results in the system, users have the option to send those results to the template builder. Consider this option using the advanced search feature:

This screen shot shows a list of items that were returned as a part of an advanced search. To add any of these items to the Letter Writer, click the desired item check box for each item and click the Add Selected Items to Letter at the top of the page.

This page shows the final set of options before the letter is generated. The very top of the page shows the items that will be included in the report. The first drop down requests that you select the template you want to use for this report.

Users also have the option to change the date on the report and determine who you want to receive the report. After completing this information, click the run report button. The final page will create your report and offer the option to print.
